This Customer Data Handling Policy supplements our Privacy Policy and explains how JASS THE SALON handles customer records for bookings, services, communication, and business operations.
Business use notice: This policy is designed to protect salon records, scheduling operations, and dispute-defense needs, subject to applicable law.
Scope
This policy applies to data handled through website bookings, WhatsApp/calls, in-salon consultations, billing/payment records, and internal service notes.
Records We May Maintain
- Name, phone number, and appointment details
- Service preferences, stylist notes, and visit history
- Date of birth/anniversary if shared by the customer
- Consultation notes, allergies, or disclosed sensitivities
- Communication history relevant to bookings or complaints
- Billing/payment references and receipts
- Before/after photos where consent is given
Storage and Access
- Data may be stored in booking records, spreadsheets/databases, messaging apps, and billing systems used by the Salon.
- Access is limited to owners/managers/staff who need the data for scheduling, service delivery, billing, or support.
- Staff are expected to use customer data only for authorized salon work.
Internal Use Restrictions
- Customer data may be used for operations, follow-up, legitimate promotions, quality review, and policy enforcement.
- Unauthorized sharing, exporting, or personal use of customer lists is not permitted.
- Complaint/dispute records may be preserved to prevent misuse and defend claims.
Retention (Operational Standard)
- Booking inquiries not converted to appointments: up to 12 months
- Appointment/service records and customer history: up to 5 years
- Billing/payment records: as required by law or accounting needs
- Marketing preference/opt-out records: as long as needed to honor choices
- Complaint/dispute records: until closure plus a reasonable defense period
We may keep records longer where needed for legal compliance, fraud prevention, or dispute defense.
Correction and Deletion Requests
- Requests may require identity verification.
- Deletion/correction may be refused or delayed where records are needed for legal compliance, billing, disputes, or legitimate business continuity.
- Where full deletion is not possible, we may restrict use and retain only the minimum required record.
Security and Incidents
We use reasonable administrative and technical safeguards appropriate for a salon business and the systems we use. If a data incident is suspected, we may restrict access, review records, and work with service providers. We will provide notice where required by applicable law.
Third-Party Platforms
Some data handling depends on third-party tools (for example messaging/storage/payment platforms) that operate under their own terms and privacy policies. We do not control all aspects of those systems.
